The type of personal information we collect

We currently collect and process the following information:

Contact details for client officers at each of our instructing client companies, or in the case of individual clients. This includes name, address (office or home, depending on what has been provided); e-mail address; mobile and landline numbers.

Contact details for those who have voluntarily provided their name, address, e-mail and telephone number in the case of a housing needs survey and feedback forms for public consultations.

Contact information if provided via our website when making initial contact with us (via Hubspot).

User data from our website in terms of visitor numbers to the site, those who have read blog posts and left their contact details.

Data for our employees including names, addresses, personal e-mail and mobile/landline telephone numbers, dates of birth, National Insurance numbers, pension information, sickness records, annual leave records, CVs, salary information and bank details.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by individuals for one of the following reasons:

· To inform a housing needs survey and to keep respondents informed, and in some cases for the purposes of a prize draw which is used to incentivise people to respond

· To inform a statement of community involvement and to keep respondents informed

· We use the information that you have given us in order to:

· Keep you informed about specific projects (only those you have shown an interest in)

· Amalgamate into an analysis of total feedback on a project or in the case of a housing needs assessment, the type and nature of housing need.

· We share such information as amalgamated data with our clients and the planning authority as an analysis of total data received, demonstrating trends and preferences.

· We share (when applicable) information about a prize draw winner to our client in order that they can send the prize to the winning entrant. This is not done without their prior consent.

· We do not share personal information about our current or past staff with third parties without their consent. Even then this is done only in very specific circumstances, such as when a reference from a new employer is requested and the former employee gives their consent.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

Your information is securely stored.

We keep contact details for all individuals (third parties and staff) for up to 15 years after it was last required.

We will then dispose your information by deleting it from all computer files (we do not keep paper files) and removing it from our servers.

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
